Financial cancellations and reinstatement

If you are identified for non-payment of your tuition or student contribution or non-submission of your HECS-HELP Commonwealth Assistance Form (eCAF), your enrolment will be removed and may be cancelled.

Your options to continue your studies will depend on your student type.

After the census date of each teaching period, Charles Sturt is required to identify and cancel the enrolment of any Commonwealth Supported Student that has not completed their HECS-HELP eCAF.

In the week following the census date, you will receive an email that includes:

  • the reason for your cancellation
  • the deadline by which you will need to take action

You will need to reply to this email confirming your desired reinstatement option from the list below.

The options to continue your studies

Defer your course or take a leave of absence

Recommence your studies in a future session by deferring your course. Not all courses can be deferred. Check this list to ensure your course can be deferred.

If you have course transferred, you may be able to take a leave of absence for this teaching period and recommence your studies in the next teaching period for your course.

Continue studying as a fee-paying student

As you did not submit a HECS-HELP eCAF, you did not finalise the acceptance of your CSP and are not eligible for the subsidised student contribution fees. However, you can be reinstated into your current subjects as a fee paying student, please see our Full Fee Paying page for fees.

Full payment must be received by the University before you can be reinstated in your subjects.

You can return to your CSP for the next teaching period but must complete your eCAF before the relevant census date.

Continue your subjects as Single Subject Study

You can continue studying subjects if they are available as single subject study as a fee-paying student. Check our webpage for subject availability and fees.

Payment must be received by the University before you can recommence studying.

You can return to your CSP for the next teaching period but must complete your HECS-HELP eCAF before the relevant census date.

Withdraw from your course

If you no longer wish to study, you can remain withdrawn from your course.

If you choose to withdraw or take no action within advised timeframe in your cancellation email, you can apply for admission to your course, or another course at Charles Sturt, in the future.

Failure to pay full fees upfront

After the census date of each teaching period, Charles Sturt will identify and remove the enrolment of any fee-paying student that has not made full payment of their tuition fees.

In the week following the census date, you will receive an email that includes:

  • the reason for your cancellation
  • the deadline by which you will need to take action

You will need to reply to this email confirming that your payment has been made and your reinstatement will then be processed.

Make payment by the reinstatement deadline

To be reinstated in your subjects, you must make full payment of your subject fees within seven calendar days of your cancellation email being sent.  You can refer to your emails for statements or the cancellation email to confirm the amount due.

Paying your student fees

Late payments

If you make payment after the seven calendar day reinstatement period, your Subject Coordinator and Course Director will need to approve your reinstatement before we can add you to your subjects again.

If your Subject Coordinator and Course Director decline your reinstatement, we will either defer your course or apply a leave of absence to your current session and issue you a refund. You will need to add subjects for a future session to continue studying.

If you are unable to make payment, or we do not hear back from you, we will either defer your course or apply a leave of absence to your current session. You will need to add subjects for a future session to continue studying.

Appealing Financial Cancellations

Under the Appeal Policy and Procedure, if you are dissatisfied with a decision you may appeal the decision within 10 business days for domestic students and 20 days for international students receiving the decision notice.

Important: If you have lost your Commonwealth assistance (CSP or HELP Loan) as you did not submit your eCAF or make payment of your student contribution, you can appeal your cancellation but not the loss of Commonwealth assistance.
